Privacy and Cookie Notice

  1. 1. Scope

    1. 1.1This notice describes how Phantom Labs (“we”, “us”) processes information in connection with the website phantomlabs.co.in, the Phantom chat assistant, enquiries, client accounts and related services (together, the “Services”).
    2. 1.2We do not sell personal data, and we do not use it for third-party advertising.
  2. 2. Information you provide

    1. 2.1Enquiry details submitted through the Talk to Phantom form or, with your agreement, through the chat assistant: name, email address, telephone number, the nature of the project, indicative budget, message and the source of the visit.
    2. 2.2Account details where an account is created: name, email address and authentication credentials, stored securely.
    3. 2.3Project, invoice and payment records for clients, as part of delivering the Services.
  3. 3. Information collected automatically

    1. 3.1Usage information about the pages visited, time spent, scroll depth, page load time, referring website or campaign parameters, device category and approximate location (country and city) derived by our hosting provider. Internet protocol addresses are not retained by us.
    2. 3.2Where analytics cookies are accepted, a randomly generated identifier stored in the browser, used to distinguish returning visits and, where an enquiry is later made, to associate prior visits with it. Where they are declined, visits are recorded without an identifier.
  4. 4. Chat assistant

    1. 4.1Messages entered in the chat assistant are processed by a trusted AI service provider solely to generate responses. Conversation transcripts are not retained by us unless you choose to share contact details for follow-up.
  5. 5. Purposes

    1. 5.1To respond to enquiries, provide quotations and deliver the Services.
    2. 5.2To operate client accounts, projects, invoices and payments.
    3. 5.3To maintain, secure and improve the website and the Services, including through aggregated analytics.
  6. 6. Cookies and similar storage

    1. 6.1Required: storage necessary for the website to function, including your cookie preference, sign-in sessions for account holders, and the source of your visit (sent only with an enquiry).
    2. 6.2Analytics (optional): the random visitor and visit identifiers described in clause 3.2, set only with your consent.
    3. 6.3You may change your preference at any time using the control at the end of this notice.
  7. 7. Service providers

    1. 7.1We engage service providers for website hosting, database services (with data stored in India), email delivery and AI processing. They process information only on our instructions and to the extent necessary to provide their services.
    2. 7.2Information may be disclosed where required by applicable law.
  8. 8. Retention

    1. 8.1Enquiry and account information is retained for as long as reasonably necessary for the purposes above, or until deletion is requested, subject to legal obligations.
    2. 8.2Usage information is retained to understand the performance of the website over time.
  9. 9. Security

    1. 9.1We apply reasonable technical and organisational safeguards, including encrypted connections, access controls and separation of each client's records.
  10. 10. Your rights

    1. 10.1Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you may request access to, correction of or erasure of your personal data, withdraw consent, and raise a grievance, by contacting us through the Talk to Phantom page.
  11. 11. Changes

    1. 11.1We may update this notice from time to time. The effective date above indicates the latest version.
